Scheduled Chats During the Event
How to manage your Scheduled Chats
To view your accepted and pending invitations for Scheduled Chats, select Manage Schedule in the sidebar.
- The red dot indicates which Scheduled Chat is occurring at a given time.
- Chat time slots are automatically generated based on settings determined by the event host.
- The chat duration refers to the length of a Scheduled Chat.
- The buffer time refers to the time you have between Scheduled Chat time slots.
To cancel or reschedule a Scheduled Chat, from Manage Schedule, click the Registrants or Signups tab. Click the candidate's name to view their Scheduled Chat status and make changes.
Select Cancel Invitation. You have the opportunity to leave a note to customize the cancellation email sent to the candidate.
If you'd like to reschedule your confirmed chat, select Yes to allow the candidate to pick a different time, then leave a note if you'd like and click Cancel Chat. An email is sent informing them that that the original chat appointment was cancelled, but provides a link for them to reschedule the chat for a different time.
If you'd like to cancel the confirmed Scheduled Chat, select No and enter a note if desired, then click Cancel Chat. An email is sent informing the candidate that the chat appointment was canceled, but they are still encouraged to attend the event.
How to enter your Scheduled Chats
Brazen seamlessly and automatically facilitates Scheduled Chats. At the designated time, you will receive a prompt to Chat Now.
Chat functionality in a Scheduled Chat is within the parameters of your assigned booth. If you are representing a Text, Video & Audio Chat booth, you have the option to transition your text-based Scheduled Chat into a video or audio chat by clicking Video or Call in your chat menu. If you are assigned to a text-only chat booth, then you are limited to a text chat within Scheduled Chat.
Manage your booth chats
If Scheduled Chats are enabled for you, you are still able to participate in Booth Chats. Meaning, you can connect with any attendees who get in line to chat in your booth during your live event.
If you want to focus only on your Scheduled Chats, set your Chat Availability to Away. This prevents you from being entered into Booth Chats.
Chat Availability does not apply to Scheduled Chat. You are always entered into Scheduled Chats if you are in the event during the Scheduled Chat time slot.
Extending Scheduled Chats
If you extend a Scheduled Chat and the extension overlaps with another Scheduled Chat, you can conduct both Scheduled Chats at the same time.
While you may want to talk to as many people as possible during your event, it's best to ensure you have meaningful connections without feeling rushed. We recommend conducting no more than two to three simultaneous conversations, and frequently visiting Manage Schedule to be mindful of your upcoming Scheduled Chats.
Ending a Scheduled Chat
After your scheduled chat, rate the candidate using the Next Steps scale to assist the hiring team in identifying a clear next step for the candidate following the chat. You can also add any Notes and/or select a Follow Up action. If Rep Handoff is enabled for your event, you can hand off the candidate to another Representative. When the candidate accepts the handoff they are automatically placed in the appropriate booth queue with priority over standard booth chats. Be sure to click Finished when you have completed your rating.
If you are handing off a candidate from a scheduled chat, be sure to let them know that you are going to hand them off to another Representative before the chat ends and what booth that chat will take place in. |
Arriving late to a Scheduled Chat
If you are late to a Scheduled Chat and you enter the event before the designated Scheduled Chat time slot ends, you are still automatically entered into your Scheduled Chat during the appointment window.
Missing a Scheduled Chat
If you are not logged in to the event during the Scheduled Chat window, the attendee receives a message letting them know that you are unavailable. If you miss a Scheduled Chat, we recommend following up with the attendee via LinkedIn or the contact information provided in their event registration or resume.
After the Event
Like with all Brazen chats, you can take follow-up actions with attendees you meet to continue your connection after the event.
View your chat history during and after the event to access registrant information and a copy of your chat transcripts. Any Scheduled Chats are marked with a green icon to differentiate them from Booth Chats.
