Create an In-Person Event
You can create an In-Person Event in Brazen as easily as a virtual one.
1. From New Event, select your Template. You may use either Open House or Expo event templates. Peer and Mixed Networking events are not supported.
2. Select In-Person under Event Format.
3. Select your Event Purpose - Live or Test.
4. Enter a Title, Subtitle, Start Time, Timezone, and Duration.
5. Select whether to Hide the lobby from attendees until the event starts (virtual lobby), and any BrazenBot permissions.
6. Click Save.
Other Settings
In Event Home, be sure to add specific Location Information to direct your event's participants. This information is included in your registration confirmation and event reminder communications.
If you want Representatives to help walk-ins set up their Brazen accounts and complete registration, click Allow Reps to Signup and Register Attendees on Event Home. This ensures walk-in candidates do not need access to a smartphone or their email to do so.
Manage Virtual Lobby Booths
There are two types of booths available to add to your virtual Event Lobby - In-Person Connections and Content Only.
In-Person Connections Booth
In-Person Connections booths appear the same as Text Chat Booths in virtual events, including having the same setup tabs of Settings, Content, Representatives, and Opportunities.
These booths let you share multimedia content in your virtual Event Lobby, and track conversations, screenings, or interviews with candidates before, during, and after your event.
You must assign any Representatives that you want enabled to track connections with candidates to a virtual Event Lobby booth, but your virtual booths are not required to match your on-site booths. |
SmartQueue is not available for In-Person Connections booths. |
Content Only Booth
Content Only booths let you showcase and highlight important information for candidates/attendees, and share multimedia content.
Candidates can access the booth materials at any time before, during, and after the event, and may leave a Drop-Off Note with any questions or comments, depending on the booth settings.
Add Jobs
Additionally, you may add Jobs to your In-Person event. See this article to learn more about adding Jobs.
Copying Booths
Copying booths is supported for in-person events, however, copying booths between In-Person and Virtual events is not permitted. You may currently only copy between like Event Formats.
Check-In Candidates & Representatives
At your live event, Representatives can easily check in pre-registered candidates, and other registered Representatives, with Attendee Lookup.
1. Search for an attendee by First Name, Last Name, or Email.
2. Click on a result listing to see the Candidate Profile or Rep Profile.
3. Click the Check-In button to check the attendee in. If needed, you can click Undo Check-In.
Representatives who have been assigned to a booth in the event but have not yet signed up for the event will not appear in Attendee Lookup results, as they only possess an invitation created by the booth assignment. To complete their signup for the event, the Attendee Signup page must be used. |
Check-In Walk-Ins
To help walk-ins create Brazen accounts, any Representative that has been granted permission as above will see the Attendee Signup page link in their event navigation.
To check in a walk-in, enter their Name and Email Address. If the email provided matches an existing Brazen account, their name will automatically populate. However, if the email address matches an account that is already signed up for the event, an alert will display instead. If that happens, the representative should search for the attendee within the Attendee Lookup tool instead.
After the signup is completed, the walk-in will receive an email for their new Brazen account. They are automatically associated with your event and will then appear in Attendee Lookup as a signed-up attendee.

Registration
Walk-ins and Representatives may fill out their respective registration forms for the event after completing the Attendee Signup form.
When registration is completed using this tool, all required fields can be bypassed. It is possible to complete the registration form without answering any questions.
Connect with Candidates
How
A form with your organization's Next Steps and a Notes field will appear in their profile.
Take notes detailing your interaction with the candidate, and select a Next Step. Ratings may be selected at any time before, during, or after an event. Connections may happen for candidates who are not yet fully registered for the event, and multiple connections can be made in the same event between the same two people. Connections may not be undone.
Both candidates and Representatives will see the connection details on their History page, and Representatives may actually create connections with other representatives.
Reports
Event Tracker with Check-in Attendance Data
The Event Tracker, located in Reports, reflects attendance data for In-Person Events based on the number of event check-ins.
Participant, Registrant & Ratings Reports
The Event Participants Report, available in Downloads, reflects attendance data for In-Person Events based on the number of event check-ins.
The Registrants Report and Registrants + Chat Ratings Report, which you can generate at the account level under Reports, also reflect in-person event attendance data.
Event Success Recap Emails & Monthly Success Report
Each of these emails reflects In-Person Event attendance and connection data.
